CloserWin user manual

Set up CloserWin and manage your sales without technical expertise.

User guide · 8 chaptersGet started

1. Getting started

Create your workspace and prepare the essentials before handling real messages.

Step by step

  1. Choose Create workspace, sign up with your email and complete verification if prompted.
  2. Open Home in the dashboard and follow the setup items: a connected channel, trusted business information and a reply mode.
  3. Start with one channel and test a conversation before adding more. You do not need Autopilot to use the dashboard.

Draft or Approval mode lets you review replies before they are sent.

Create workspace

2. Connect your channels

Connect the places where customers already contact your business.

Step by step

  1. Open Connections. For Gmail and Google Calendar, select Connect Google Workspace and authorize your account on Google's official sign-in page.
  2. For WhatsApp Business, Instagram and Facebook Messenger, select Connect Meta and authorize your business account.
  3. Once connected, assign an agent if needed and test the channel. Review website capture if you receive leads from your website.

If you see Setup required, the CloserWin administrator must configure the integration first. Never paste passwords or tokens into chats.

Open Connections

3. Add business knowledge

The AI needs current, verified information to answer accurately.

Step by step

  1. In Products, add items, prices, variants and inventory where relevant. For services, use the business description and the agent's knowledge base.
  2. Open Autopilot → Knowledge. Import your website, upload a catalog or document, or add verified business rules.
  3. Include availability, payment terms, policies, warranties and FAQs. Review missing-information warnings before enabling automatic actions.

Prices and commercial commitments must come from confirmed business data. Update CloserWin whenever they change.

Set up knowledge

4. Set up AI and Autopilot

Choose what CloserWin may do on its own and when a person must approve.

Step by step

  1. Under Autopilot → Agent, choose a communication tone and describe the business. Save your changes.
  2. Start with Draft (AI prepares text) or Approval (you review before sending). Enable Autopilot only when your plan and readiness checks allow it.
  3. Configure follow-up limits, quiet hours and human handoff. Review safeguards and test common scenarios before allowing automatic sends.

Autopilot may remain locked if crucial business facts are missing or your plan does not include it. Do not bypass safety checks.

Open Autopilot

5. Manage conversations

Follow customer messages in the inbox and keep their context together.

Step by step

  1. Open Conversations to view messages from connected channels and select the contact you want to assist.
  2. In Approval mode, review the AI draft and approve it only if the facts are correct. You can also reply manually.
  3. If messages are missing, check whether the channel is connected and synchronized; demo content is not a real conversation.

Before quoting a price or confirming availability, check your current business information.

Open Conversations

6. Customers and sales

Use customer information to move opportunities forward without restarting.

Step by step

  1. Open Customers to review contact details and qualification. An AI score is a guide, not a promise that someone will buy.
  2. Use Sales and Pipeline to track each opportunity's stage and next action. Update its status as it progresses, closes or is lost.
  3. For quotes, payment links or bookings, use the relevant sections and make sure any required integration is connected.

A high lead score is not permission to keep messaging: respect opt-outs and follow-up limits.

Open Customers

7. Plans, credits and payments

Monitor your subscription and AI usage in the workspace.

Step by step

  1. Open Plan & billing to check your current plan, limits and included credits.
  2. Credits depend on the AI workload. Watch low-balance alerts before automatic actions are paused.
  3. Use the billing options available to your account to add capacity, manage a subscription or check payment status. Confirm whether a checkout is in test or live mode.

Monthly plan credits and extra credits can have different rules. Review the account details before purchasing.

Open Billing

8. Troubleshooting and security

Start with these checks when something does not work as expected.

Step by step

  1. Cannot sign in: verify your email, check spam for a code and use Forgot password when needed.
  2. No customer messages: check Connections and the Google or Meta authorization; reconnect when prompted.
  3. Autopilot unavailable: review your plan, credits, missing business knowledge and safeguards. Setup required means an administrator must configure that integration.

Never share passwords, API keys, verification codes or Google/Meta credentials in a CloserWin chat.
